The number of orders has dropped by 50%. Delayed payments by customers have become commonplace. Suppliers demand 100% down payment for material, etc. Workers´ morale is getting lower and lower, as they see the dismal mood around them. It is hard to motivate people to give the desirable performance in such a climate. Managers as well as teamleaders ask: What are we supposed to tell our people? This question shows evidence of the company´s insufficient communication, or that they have not even given a thought to the internal communication process.
Everything should work so that the manager knows in due time what he or she is supposed to inform of when the first drop in orders occurs. Such situations mostly appear in small companies where more roles accumulate in one worker (who, in many cases, is also the company´s owner). Commonly, these people wonder WHAT, HOW and WHEN to communicate in these situations:
- departure of a key worker
- decline in production
- the biggest client has terminated the contract
- accident in the workplace
- bullying in the workplace
- harassment
- etc.
Obviously, the communication alone is not enough. More follow-up steps need to be taken to eliminate potential damage. This is usually done by means of a clearly-defined process of internal communication as required by the ISO 9001 standard which says only the following: “The top management has to provide for generation of the relevant communication channels within the organization and functioning communication regarding the effectivity of the quality management system.“
In the standard, there is no say on HOW whatsoever. Besides, the company processes are being introduced by quality-orientated workers (quality of products, services, etc.), they are not workers with the communication training, so they do not know the right manner of communication and, naturally, the right way of setting the process of internal communication. On the contrary, a firm that teaches communication cannot model processes and systems. The ideal consultant here would be a quality guy with experience in communication and public relations.
